Job Description: Office Coordinator

Housing Rights Committee of San Francisco (HRCSF) is a tenants’ rights non-profit serving tenants citywide since 1979, offering free counseling and organizing support for San Francisco tenants in all types of housing, including rent-control, public housing and Section 8. Through our counseling program, we support more than 5,000 tenants a year, and our organizing program has helped build tenant associations across the city.

Position Summary: 

HRCSF is seeking a dedicated and detail-oriented Office Coordinator to be the first point of contact for tenants seeking housing support at our drop-in tenant’s rights counseling clinic. This role is critical in creating a consistent, welcoming, and professional experience for all clients, allowing HRCSF to provide reliable, high-quality assistance to tenants facing housing challenges. This position integrates a clinic-inspired triage model where the coordinator will screen, prioritize, and manage client interactions based on urgency, type of issue, and prior case history, as well as provide resource and referral information. This position will also offer operational support to the organization serving as a point of contact for internal communications and actively monitoring infrastructural needs for the clinic and organization where needed. 

This role requires multitasking, sensitivity, excellent communication skills, and the ability to handle high-stress situations with empathy and professionalism.

Essential Functions:

  • Case Intake & Screening:

    • Conduct initial screenings for walk-in and phone inquiries to assess the nature and urgency of each case and which team is best suited to handle it.

    • Collect essential information and documentation from clients to facilitate a smooth handoff to counselors, checking prior case history when applicable.

    • Prioritize cases to ensure immediate needs- such as eviction threats, uninhabitable conditions, and urgent repairs- receive prompt attention.

    • Screen and prioritize phone messages to ensure clients in need of urgent assistance are responded to promptly.

  • Client Assistance & Hospitality:

    • Provide resource and referral information to clients who we are unable to assist 

    • Greet and welcome clients as they come in, conduct intakes and explain the counseling services and what to expect 

    • Manage the flow of cases to ensure clients are seen by the appropriate team  within a reasonable time 

    • Assist with referrals and hand offs to other teams or other agencies 

  • Counseling Clinic Administrative Support:

    • Answer general calls regarding clinic hours, referrals etc

    • Manage and organize brochures, flyers, bulletin boards and other client information and resource materials 

    • Other administrative duties as needed 

    • Assist with communications and implementation of operations and procedural systems 

  • Operations Support:

    • Support the Operations Team in stocking office supplies and day-to-day items for the clinic

    • Serve as a point-of-contact for internal and external communications with staff, vendors, and the building manager 

    • Work with the Operations Team to monitor and report on infrastructural needs for the clinic 

    • Ensure that the clinic has the equipment, supplies and technical support necessary for smooth operations. 

    • Assist with scheduled deliveries and repairs at the main office 

    • Provide general maintenance of day-to-day work supplies such as furniture, office materials, and technical equipment for the clinic 

Qualifications:  

  • Familiarity with organizational administration best practices

  • Proficiency with workplace software systems, i.e. Google Workspace and/or Microsoft Office

  • Ability to build and maintain effective working relationships with a diverse group of individuals and organizations

  • Ability to work onsite during regular business hours, as well as the ability to attend to errands offsite within San Francisco during regular business hours

  • A detail-oriented work style

  • Excellent written and verbal communication skills

  • Bilingual in English and Spanish

This position is a full-time, non-exempt position with a current hourly pay rate of $36.54/hour. Benefits include medical - including chiropractic and acupuncture - dental, and vision and a generous accrual of paid vacations and sick time. This position is full-time (40 hours per week). HRCSF fosters a sustainable work environment centered on self and collective care.

This position is included in a collective bargaining unit represented by Office & Professional Employees International Union, Local 29. Specific employment terms are subject to a Collective Bargaining Agreement (CBA).
